Next, check SPF. SPF authorizes which sources can send email on behalf of a domain. SPF only passes if the sender is authorized by the published policy.

• Check if all legitimate sending services are included
• Identify includes that are no longer used

• The selector exists in DNS
• The public key is published correctly
• Messages from that sender are actually being signed
• Key rotation hasn't broken signing

Common failure points include missing DNS records, poor key rotation practices, and inconsistent signing across email streams. One system may sign transactional email correctly, while another leaves marketing messages unsigned. That creates uneven DMARC outcomes that are easy to miss until enforcement starts affecting delivery.

Check SPF and DKIM Alignment

This is the section most teams need. Authentication success and a DMARC pass aren't the same thing.

DMARC checks whether the address in the visible “From” header aligns with the domains authenticated by SPF and DKIM. A message meets DMARC requirements if SPF and/or DKIM align.

This is why teams often see confusing outcomes:

• SPF passes, but DMARC fails
• DKIM passes, but DMARC fails

You should check whether alignment is relaxed or strict. Relaxed alignment allows the authenticated domain to be a subdomain. Strict alignment requires an exact domain match. A sender may pass authentication but still fail DMARC if its domain setup doesn't match your alignment requirement.

Review DMARC Reports for Failure Patterns

After you verify the record structure, review the failure data. DMARC aggregate reports help you separate approved sources, misconfigured senders, and unauthorized traffic by showing the policy applied, the SPF and DKIM results, and whether the domains aligned.

Look for patterns such as:

• Dropping authentication pass rates
• Unknown addresses sending from your domain
• Mismatched authentication results
• Failures from specific receivers
• Unexpected spikes in volume

Also, check the surrounding infrastructure signals:

• Reverse DNS for sending IPs
• Server time synchronization
• TLS certificate validity
• DNS resolution consistency
• Relay configuration

Review Third-Party Sender Configuration

Third-party senders are one of the most common enterprise failure points. Marketing platforms, CRM tools, ticketing systems, invoicing systems, cloud services, and support tools all need to be reviewed as separate senders.

For each sender, verify four things:

• SPF inclusion
• DKIM signing
• Alignment
• The approved sending domain or subdomain

This is where sender inventory matters. A platform added without security or infrastructure oversight may send emails using your brand domain. If it's not set up correctly, those messages can fail DMARC.

Validate Your DMARC Policy

Now check whether the issue started after a policy change. Review the current p= value, and review whether sp= is set for subdomains.

• Find the failing legitimate sender
• Identify whether the failure is due to SPF, DKIM, alignment, or syntax
• Fix the issue
• Confirm the result in testing and reports
• Continue toward stronger enforcement

Test and Confirm the Fix

Once you make a change, validate it across critical email flows. Test the streams that matter most, including billing, notifications, support, and marketing.

Confirm three things:

• SPF outcome
• DKIM outcome
• DMARC outcome

Then continue monitoring DMARC aggregate reports to confirm the change held. Document what changed, which sender was affected, and what improved. This matters for governance, future DMARC troubleshooting, and policy rollout planning.

Remember that DNS changes can take time to propagate. Validate 24 to 48 hours after the update.
